Services Terms and Conditions
1. General Terms
1.1 By booking any service with Mindfuel Dietitian, you agree to these Terms and Conditions.
1.2 Services are provided by a registered dietitian governed by the Health and Care Professions
Council (HCPC) and the British Dietetic Association (BDA) Code of Professional Conduct.
2. Payment and Cancellation
2.1 Payment is required at the time of booking unless otherwise agreed in writing.
2.2 Late invoices incur a 5% weekly administrative fee after four weeks of non-payment.
2.3 Cancellations and rescheduling:
●Appointments cancelled with less than 48 hours’ notice are non-refundable.
●You may not reschedule your appointment with less than 48 hours’ notice.
●Rescheduling with more than 48 hours’ notice is permitted, subject to availability.
2.4 Clients who miss appointments or repeatedly reschedule may be declined further bookings.
3. Exclusion Criteria
3.1 Mindfuel Dietitian services are not suitable for clients who fall within the following categories:
A. Clinical Risk and Medical Instability (per MEED Guidelines)
●Adults: BMI below 16kgm2.
●Under 18s: Weight below 70% of median expected weight.
●Rapid weight loss: >1 kg per week for two consecutive weeks.
●Bradycardia: Heart rate <40 BPM (adults) or <50 BPM (adolescents).
●Severe postural hypotension (drop in systolic BP >20 mmHg).
●Syncope (fainting), electrolyte imbalance.
●Recent hospital discharge for medical stabilisation or refeeding, unless under ongoing
medical supervision.
Clients meeting these criteria will be advised to seek urgent medical assessment or specialist multidisciplinary support before dietetic input resumes.
B. Psychological and Psychiatric Risk
●Active suicidal thoughts, self-harm, or severe mental health crisis requiring
immediate intervention.
●Severe psychiatric conditions (e.g. psychosis, unmanaged bipolar disorder) not
currently supported by a mental health team.
●Clients presenting with severe body image distress or compulsive exercise without concurrent psychological support.
If identified, Mindfuel Dietitian will recommend referral to the GP, CMHT, or specialist ED service.
C. Scope of Practice and Service Suitability
●Clients under 16 years old (paediatric clients) unless seen as part of a multidisciplinary paediatric service.
●Clients requiring meal plans or refeeding support beyond safe outpatient scope.
●Clients seeking diagnosis of a medical or psychological condition (diagnosis must be provided by an appropriate clinician).
●Clients requesting prescriptive or restrictive meal plans that conflict with BDA/HCPC ethical standards.
●Clients unwilling or unable to engage in agreed behavioural or nutritional change goals.
D. Ethical and Professional Boundaries
●Clients engaging in abusive, discriminatory, or disrespectful behaviour toward staff.
●Clients requesting services for unsafe or unethical purposes (e.g. extreme dieting, rapid weight loss, or unsafe competition weight-cuts).
●Clients providing false or misleading information that compromises safe care delivery.
3.2 Mindfuel Dietitian reserves the right to decline or discontinue services at any stage if:
●Continuing would pose a risk to the client’s health or safety.
●The service required is outside professional scope or ethical boundaries.
●The client does not meet suitability criteria for independent outpatient support.
4. Multidisciplinary Collaboration
4.1 Mindfuel Dietitian may liaise with other professionals (e.g. GP, psychologist, psychiatrist,
therapist) to ensure coordinated and comprehensive care.
4.2 Collaboration will occur only with the client’s consent, except where there are safeguarding concerns or a duty of care to disclose information for safety reasons.
5. Refund Policy
5.1 Refunds are issued only under specific circumstances, such as administrative error or service cancellation by Mindfuel Dietitian.
5.2 A 10% administrative fee may apply to all approved refunds.
5.3 Refunds are not available for:
●Missed appointments
●Late cancellations
●Pre-paid packages once services have commenced
6. Insurance Information
6.1 Clients may claim for eligible services through private health insurance (e.g. AXA, BUPA, WPA).
6.2 It is the client’s responsibility to verify coverage.
6.3 Any shortfall or declined claim remains the responsibility of the client.
7. Remote Consultations
7.1 Remote sessions do not replace face-to-face medical assessment or physical examination.
7.2 Clients are advised to seek in-person medical support when required.
7.3 Mindfuel Dietitian is not liable for issues arising from incomplete or inaccurate information provided during remote consultations.
8. Client Responsibilities
8.1 Clients must:
●Provide accurate and current health, lifestyle, and medical information.
●Inform Mindfuel Dietitian of any changes to medications, diagnoses, or symptoms.
●Engage actively and respectfully in all consultations and recommendations.
8.2 Mindfuel Dietitian cannot be held responsible for outcomes resulting from incomplete
disclosure or non-adherence to the agreed plan.
9. Termination of Services
9.1 Either party may terminate services with written notice in cases of:
●Non-compliance with terms or treatment recommendations
●Non-payment of fees
●Inappropriate, abusive, or disrespectful behaviour
9.2 Mindfuel Dietitian reserves the right to refer clients to alternative care if it is determined that
continued work would be outside professional scope or not in the client’s best interest.
10. Force Majeure
10.1 Mindfuel Dietitian is not liable for service delays or interruptions caused by circumstances
beyond reasonable control, including but not limited to:
●Natural disasters
●Illness or injury
●IT system failure
●Pandemic restrictions
In such cases, appointments will be rescheduled at the earliest possible convenience.
11. Acknowledgement
By booking or attending an appointment with Mindfuel Dietitian, you confirm that you have read, understood, and agreed to these Terms and Conditions.
